JOB DESCRIPTION

Summary/Objective

The Executive Assistant to the CEO provides comprehensive, high-level administrative support to ensure the efficient and effective operation of the executive office.  This position serves as a key liaison between the CEO, Board of Trustees, senior management, and internal and external stakeholders of Aiken Electric Cooperative and its subsidiaries. The Executive Assistant also provides direct administrative support and coordination for the Board of Trustees, ensuring timely communication, accurate documentation, and seamless execution of all Board activities.

Essential Functions

  • Manage and maintain the CEO’s calendar, appointments, travel arrangements and other duties as assigned.
  • Review, screen and prioritize correspondence, phone calls, and requests; draft and proofread communications and transcribes dictation on behalf of the CEO.
  • Prepare reports, presentations, and other materials for meetings and public arrangements.
  • Maintain strict confidentiality in all aspects of business operations and sensitive communications.
  • Represent the CEO’s office with a high level of professionalism.
  • Serves as the primary administrative liaison for the Board of Trustees.
  • Schedule and coordinate all activities for the Board of Trustees as directed by the CEO, including correspondence, meetings, events, training, and travel.
  • Prepare and distribute Board meeting agendas, material, and minutes in a timely and accurate manner.
  • Ensure compliance with governance requirements and maintain official records of Board minutes and actions.
  • Maintain course records and educational requirements/status for the Board of Trustees.
  • Ensure compliance with South Carolina Office of Regulatory Staff (ORS) requirements.
  • Collaborate with staff to facilitate communication, meetings, and projects.
  • Manage special projects and initiatives assigned by the CEO.
  • Coordinate all activities for the Operation Round-Up Board meetings and perform related administrative functions.
  • Establish and maintain contacts and relationships to support coordination and communication with NRECA, ECSC, ORS, CEEUS, Central Electric Power Cooperative, and CarolinaConnect as well as other external partners, government agencies, members, and the general public.

Work Environment

This position operates in both office and field settings. Standard office equipment used includes computers, phones, photocopiers, filing cabinets and monitors.

Physical Demands

This position is primarily sedentary; however, the employee may occasionally be required to walk or stand, use hands and fingers to handle or feel objects, reach with hands and arms, and occasionally stoop, kneel, crouch, or crawl. The employee is regularly required to communicate clearly, both verbally and in writing. The employee must be able to lift and/or move up to 25 pounds on a regular basis.

Travel

Periodic in-state and out-of-state travel is required to attend meetings, training sessions, conferences, and events.

Required Education and Experience

  1. Bachelor’s degree in Business Administration, Communication, Legal Studies or related field.
  2. Minimum of three years of executive-level administrative experience, supporting executives and/or boards.
  3. Proven exceptional written and verbal communication skills.
  4. Advanced proficiency in Microsoft Office Suite.
  5. Proven ability to manage multiple tasks with accuracy and attention to detail.
  6. Strong interpersonal skills, discretion, and professionalism.

Preferred Education and Experience

  1. Executive-level administrative experience supporting cooperative executives and boards.
  2. Experience with board governance procedures and compliance standards.
  3. High degree of initiative and ability to anticipate needs before they arise.

Additional Eligibility Qualifications

  1. Valid driver’s License.
  2. Ability to become a Notary.
  3. Legally eligible to work in the United States.
